A reliable supply decision needs evidence that can be linked to the exact module, manufacturing location and production revision. Quality-system documents, sample qualification and shipment acceptance answer different questions; keep them connected without treating one as a substitute for another. This collection helps purchasing, engineering and quality teams agree what to request and how to review it. Start with the product risk and the contract requirements, then build a record of supplier scope, process controls, traceability and the actions required when a material or process changes.
01 Check supplier scope and relevant documentation
02 Agree qualification and production acceptance
Request current documents directly from the supplier and confirm the company, site, scope and validity shown on them. A management-system certificate describes a defined organization and scope; it does not automatically establish every performance claim made for a module or finished device. Ask for the product evidence relevant to your own design and market requirements. Record document identifiers and review ownership so purchasing language remains aligned with engineering expectations, and resolve any mismatch between the proposed supply site and the documentation before production approval.

Translate the important failure modes into agreed checks before accepting a production schedule. Establish the sample configuration, test conditions, measured characteristics and acceptance process, including how deviations will be resolved. For any customer-specific submission, ask what the supplier can provide and who approves it within your organization. A successful prototype is useful evidence but does not define a production control plan by itself. Retain the approved drawings and test records with the part revision so later shipments can be evaluated against the same documented expectations.

Determine how a shipped module can be traced to its materials, manufacturing records and inspection results. Agree which changes require notification, how much information must accompany the notice and who decides whether requalification is needed. Review end-of-life handling and replacement plans alongside routine process control. Continuous-improvement claims should become observable records and corrective actions rather than promises of perfect output. Keep the approved baseline accessible to engineering, purchasing and service teams, and define a process for investigating field issues without losing the relationship between symptoms and supplied revisions.
Capture the requirements and the evidence you will use to compare candidate solutions.
| Requirement | What to define |
|---|---|
| Supplier identity | Record legal entity, manufacturing site, document scope and verification date. |
| Acceptance baseline | Agree approved drawings, sample configuration, test methods and deviation handling. |
| Traceability route | Define identifiers that connect shipments to materials, production and inspection records. |
| Change agreement | Set notification content, review responsibility, requalification triggers and end-of-life handling. |
No. Review its stated scope and obtain the evidence relevant to the module. The finished-product team must determine and meet its own applicable obligations.
A record of the reviewed scope, observed controls, evidence, findings and agreed actions. Connect those findings to the actual supply route and part revision.
Compare it with the approved baseline, request supporting evidence and assess its effect on the product. Follow the agreed notification and requalification process before accepting the change.
